HouseofTech Innovation Pvt Ltd (“we”, “us”, “our”, or the “Company”) operates the Invoicely mobile application and related services (the “App”).

Invoicely is an invoice maker and billing app for freelancers, shops, agencies, and small businesses. It lets you set up a business profile, save customers, create GST/VAT-ready invoices with line items and tax, and generate, download, and share invoice PDFs. Certain features may be available only to paid subscribers or via in-app purchases.

We are committed to protecting your privacy and handling your data responsibly. This Privacy Policy explains how we collect, use, store, share, and protect your information when you use Invoicely, wherever in the world you use it.

By downloading, installing, or using the App, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the App.

1. Information We Collect

A. Information You Provide Directly

• Account details — the email address and password you use to register. Passwords are stored only as salted hashes by our authentication provider; we never see your password in readable form.
• Business profile details — business name, business type (freelancer, company, shop, agency, other), country, currency, business email, phone, address, city, state, PIN/ZIP code, and business logo (if you upload one).
• Tax settings — tax name (GST, VAT, etc.), your tax registration number (GSTIN / VAT number), and default tax rate.
• Invoice settings — invoice number prefix and running invoice counter.
• Customer records you create — customer name, email, phone, address, and tax/GST number.
• Invoice data you create — invoice numbers, dates, due dates, status, line-item descriptions, HSN/SAC codes, quantities, rates, discounts, tax, totals, notes, and payment terms.
• Subscription and billing-related details if you purchase a premium plan.
• Feedback, support queries, or communications you send to us.

B. Automatically Collected Information

• Device information: device type, operating system, app version, IP address, unique device identifiers, language and region settings.
• Usage data: features used, invoices created, PDFs generated, and in-app navigation.
• Performance data: crash reports, diagnostics, and error logs.
• Approximate location derived from IP address, used for regional pricing, currency and tax defaults, and legal compliance.
• Analytics data collected via third-party tools to improve the App.

C. Information We Do Not Collect

• We do not access your contact list, call logs, SMS, microphone, or camera. Customer records in Invoicely are only those you type in yourself.
• We do not scan your photo library or read your existing personal files. If you choose to upload a business logo, we receive only the single image you select.
• We do not collect government IDs or biometric identifiers. A tax registration number (GSTIN/VAT) is business information you choose to enter for printing on your invoices.
• We do not connect to your bank account and we do not read your bank statements or transaction feeds.
• We do not store your full card details — payment information for any premium plan is handled directly by our RBI-licensed payment gateway partners (such as Razorpay and PhonePe).

2. How We Use Your Information

• Create, store, number, and display your invoices, customers, and business profile.
• Generate invoice PDFs on your device and let you download or share them with your customers.
• Calculate subtotals, discounts, and tax using the rates and figures you enter.
• Sync your business data across your devices when you sign in.
• Process subscription payments and manage billing, where applicable.
• Send service messages such as receipts, renewal reminders, password resets, and important account notices.
• Detect and prevent fraud, abuse, or unauthorised access, and enforce our usage rules.
• Improve App performance, fix bugs, and develop new features (using aggregated or de-identified data wherever possible).

3. Your Business Data & Your Customers’ Data

• When you enter details about your customers (their name, email, phone, address, tax number), you are the controller of that personal data and we act as your processor, handling it only to provide the App to you.
• You confirm that you have a lawful basis — such as your business relationship with that customer — to enter their details into the App, and that you will handle their data in line with the privacy laws that apply to your business.
• Access to your data is restricted to your account through database-level row-level security, so other users of the App cannot see your invoices or customers.
• Our staff do not routinely access your invoice contents; limited access may occur only for support you have requested, for security investigation, or where legally required.

4. Subscription & Payment Information

• Where a paid plan is offered, payments are processed by RBI-licensed payment gateway partners (such as Razorpay, PhonePe, or similar providers), supporting UPI & UPI Autopay, credit/debit cards, and netbanking. The active payment gateway may change from time to time without prior notice.
• Each payment gateway handles and stores your payment details under its own security standards (PCI-DSS). We never see or store your full card number.
• We retain only your subscription status, plan, and transaction reference for billing, accounting, and tax compliance.
• Invoicely does not collect payments from your customers on your behalf. Money owed on an invoice you send is settled directly between you and your customer.

5. Information Sharing & Disclosure

We do not sell or rent your personal or business data. We share limited data only:

• With service providers (cloud hosting, database and authentication providers, content-delivery networks, analytics infrastructure, payment gateways such as Razorpay and PhonePe, email delivery) under data-protection agreements, and only to the extent needed to provide the service.
• With the recipients you choose — when you share or send an invoice PDF, that file goes to the app, contact, or channel you select, and its handling from that point is outside our control.
• To comply with legal obligations, court orders, or lawful government requests.
• In case of mergers, acquisitions, or restructuring (with notice to users).
• To protect rights, safety, and platform security.

6. International Data Transfers

• Invoicely is offered worldwide. Your data may be processed on cloud infrastructure located in countries other than your own, including India, the United States, and the European Union.
• Where required (for example for users in the EEA, UK, or Switzerland), we rely on appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms for cross-border transfers.

7. Data Storage & Security

• All data is encrypted in transit (HTTPS/TLS); stored account, business, customer, and invoice data is protected with access controls, row-level security, and industry-standard safeguards.
• Invoice PDFs are generated on your device; a copy stays on your device until you delete it, and is subject to your device’s own security and any backup service you use.
• While we take strong precautions, no system is completely secure. We recommend you keep your own backups of invoices you are legally required to preserve.

8. Data Retention

• Business profile, customer, and invoice data is retained while your account is active, so that your billing records stay available to you.
• Transaction records for any premium plan are retained for the duration required by applicable tax and accounting law (typically up to 7 years).
• Analytics data may be retained in anonymised form for up to 24 months.
• You may request account and data deletion at any time — see the Delete Account page. Export or save any invoices you need before deleting, as deletion is permanent.

9. Your Privacy Rights

Depending on where you live, you may have rights under laws such as the EU/UK General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA/CPRA), India’s Digital Personal Data Protection Act 2023, and similar laws, including the right to:

• Access a copy of your personal data
• Correct or update your information
• Request deletion of your data (“right to be forgotten”)
• Object to or restrict certain processing, and data portability
• Withdraw consent at any time (without affecting prior processing)
• Opt out of “sale” or “sharing” of personal information (we do not sell or share personal information as defined by the CCPA)
• Lodge a complaint with your local data-protection authority

10. Children’s Privacy

• Invoicely is a business tool intended for users aged 18 and above. It is not directed at children.
• We do not knowingly collect data from children. If you believe a child has provided us data, contact us and we will delete it.

11. Nature of the Service

• Invoicely helps you create and organise invoices. It does not file tax returns for you, does not transmit invoices to any tax authority, and does not generate government e-invoice reference numbers (such as an IRN) unless expressly stated in the App.
• Tax rates, HSN/SAC codes, invoice numbering, and mandatory invoice fields differ by country and by business. You are responsible for confirming that the invoices you issue meet the requirements that apply to you.

12. Third-Party Services

• The App may use third-party tools including Supabase (authentication, database, and storage), cloud hosting and content-delivery providers, Razorpay and PhonePe (payments, where applicable), and analytics services.
• These services operate under their own privacy policies.

13. Changes to This Privacy Policy

• We may update this Privacy Policy from time to time.
• Significant changes will be communicated through the App.
• Continued use of Invoicely means acceptance of the updated policy.
